The date that actually matters
Give every agent-driven workflow a deadline and an owner.
The contractual cutoff, program expiry, and SOW end date can be different. Keep them separate.
- 01
Action by
The contractual cutoff that affects your rights or options. This is the deadline the Decision Calendar puts in view.
Defined by the applicable terms
- 02
Prepare by
An earlier working date your team chooses for preparation, review, and negotiation. It does not replace the cutoff.
Chosen by your team
- 03
Agreement or program end
The end of the relevant term or benefit period. The action you need to take may be due well before it.
Kept distinct from the action-by date
The deadline hiding in the SOW
The SOW end date didn’t tell the whole story.
In a client review, Cantabrix surfaced a rebate-program renewal requirement buried in the SOW. The program followed a different timetable from the SOW itself.
The finding exposed a decision the client had not realized was needed to preserve the benefit.
That is the difference between recording when an agreement ends and understanding when the business needs to act.
Anonymized, founder-reported finding. Renewal completion and cash savings are not claimed.
One relationship. Different deadlines.
The date that needs action
Rebate-program renewal
A separate requirement to preserve eligibility. Decision required
The date you might have tracked
SOW end date
Not a substitute for the program’s deadline.
The system of commercial execution
A finding does not save money. Acting on it can.
From an overlooked clause to an owned decision. Cantabrix connects what you know to what your team does next.

Program requirement · explanatory summary
Rebate participation has a separate renewal requirement.
AI surfaces the requirement. Your team reviews the evidence.
02 / Prioritize · Know when to act
Make the deadline impossible to overlook.
Separate the actual contractual cutoff from the agreement end date. Put the financial consequence and the decision owner alongside it.
- Contractual action by
- October 22
- Program ends
- October 31
- SOW ends
- January 31
A later SOW end date does not preserve program eligibility.
03 / Act · Move the work forward
Give every decision a clear next step.
Assign the owner, prepare the vendor response, and move approved follow-up forward. Keep the work connected to its source and deadline.

04 / Verify · Verify the outcome
A completed task is not a completed outcome.
Check the written response and the agreed change. Keep a potential saving, protected eligibility, and money actually realized distinct.

A few practical answers
Before your next vendor decision.
Does “Action by” mean the reminder date?
No. It is the contractual cutoff that affects your options. Your team chooses an earlier working date for preparation and negotiation. Program expiry and SOW end dates remain distinct when the terms make them different.
What happens when a date or clause is unclear?
Unclear terms and missing information should stay visible for review. A missing date is not the same as confirmation that no deadline applies. Review the controlling agreement and any relevant amendments before acting.
Can my team take action from the Calendar?
The Calendar connects the decision to its evidence, owner, and next step. Use the negotiation and approved-action workflows to prepare the response and keep the work moving.
Does completing a task confirm the benefit?
No. A sent request is not a confirmed renewal, and preserved eligibility is not cash received. Review the written outcome and the financial evidence separately.
